Payroll Administrator

The Payroll Administrator is responsible for accurate and timely processing of all employee’s pay to Company and legal specifications.

Responsibilities & Duties:

(Responsibilities include, but are not limited to the following)

Payroll:

  • Manage and process payroll for both facilities in a timely and efficient manner, using Visual Manufacturing and ADP People/Pay at Work payroll system.
  • Process termination payments in accordance with Income tax laws.
  • Use Cognos Impromptu to create various payroll files.
  • Download Overtime entries to ADP and Visual.
  • Enter manual payroll adjustments and special requests in to ADP.
  • Create payroll file in Cognos and transfer to ADP every second Tuesday.
  • Ensure payroll is accurate and transmit to ADP.
  • Reconcile payroll and give data to Accounting for processing.
  • Manage pay stub distribution
  • Issue Record of Employments and other necessary documentation when required.
  • Responsible for issuing manual cheques when required.
  • Sort pay stubs and distribute.
  • Answer payroll questions from employees as required.

Data Entry:

  • Oversee the daily entry of production timesheets from both facilities into Visual.
  • Collect and enter weekly office timesheets into Visual Manufacturing.
  • Ensure all time entries are in the Visual Manufacturing system on time.
  • Ensure accuracy of time entries.
  • Liaise with Supervisors and employees about any timesheet issues.
  • Review entries for vacation, personal and sick leave.

Administration:

  • Hire and terminate employees in both the Visual Manufacturing and Payroll systems.
  • Assist with absentee reports as required.
  • Prepare overtime reports and disseminate.
  • File Human Resources records.
  • Work with ADP support staff to update and modify payroll systems as required.
  • Create new employee files/accounts in the payroll system.
  • Update employee payroll information as required.
  • Manage and update payroll files including vacation and sick leave status.
  • Address all employee payroll inquires in a timely matter and resolve any discrepancies or problems accordingly.
  • Maintain and administer all payroll documents and files.
  • Research and document company payroll policies.
  • Keep abreast of changes to pay policies including taxable benefits, statutory remittances, ROE processing.
  • Close employee files upon termination of employment.
  • Provide assistance to HR and Accounting as required.

 General duties:

  • Process, administer and manage employee family and tax related deductions and remit data to accounting as required
  • Process and administer pension contributions with Manulife
  • Oversee Group RRSP program. Process deductions from employees pay and transfer to Royal Bank.
  • Process year-end adjustments and taxable benefits
  • Verify T4 information with ADP prior to processing.
  • Reconcile T4s at year-end and distribute to employees.
  • Participate in internal and external audits.
  • Respond to payroll and employment inquires from outside organizations such as Service Canada, Revenue Canada, financial institutions.
  • Benefit administration – enrolments, updates and changes
  • Prepare annual reports for Finance

Experience:

  • Experienced in processing medium sized Canadian payroll with multi province locations
  • Experience with administrative support functions.
  • Working experience with payroll software packages preferably with ADP Pay-at-Work and People-at- Work.
  • Proficient with Microsoft Office.
  • Experience with Visual Manufacturing preferred.
  • Payroll experience in a manufacturing organization.

 Education/ Professional Certification:

  • Post secondary education in Accounting and Payroll training or equivalent experience
  • Experience with a time and attendance software system would be a strong asset.
